Attachment Guidelines

Applies to all Uploads/Attachments

Submit clear, complete files in accepted formats to avoid delays and follow-up queries.

Accepted Formats & Limits

  • Preferred: PDF for official documents. Use JPEG/PNG for IDs, photos, and certificates.
  • Optional and where specified: DOC/DOCX or XLS/XLSX only if requested or if the document is editable or data-heavy. Convert to PDF once signed/stamped.
  • Prohibited /Not allowed: EXE, BAT, APK, scripts. ZIP/RAR only if explicitly requested.
  • Size limit: 10 MB per file. Compress large scans or split by sections where multiple uploads are permitted.
Tip: Scanner apps with “document mode” improve legibility and reduce file size.

File Naming & Quality

  • Use underscores, not spaces; avoid special characters (%, &, #, !, …).
  • Ensure scans are clear, complete, and legible; avoid cropped edges and shadows.
  • Combine multi-page documents into a single PDF where possible.
E.g. Application_Form_[YourName].pdf, National_ID_[YourName].png, Business_Licence_[OrgName]_2025.pdf

Document Quality & Legibility

  • Scanned documents must be clear, complete, and legible.
  • Avoid cropped edges or blurred images.
  • Combine multiple pages of the same document into a single file.
  • Submit color scans where color is required (e.g., IDs, certificates).
  • Ensure all pages are included.
  • Sign and stamp documents where required before uploading. .
  • Verify dates, names, and other key information match your application details.

Photo Guidelines

  • Clarity: Photos must be sharp, well-lit, and show the required item or person clearly.
  • No obstructions: Do not include objects like tables, papers, or fingers covering the important parts of the photo.
  • Tight framing: Crop or frame the image to focus only on the subject (e.g. the certificate, ID, or workplace area). Remove unnecessary background.
  • Orientation: Hold your camera steady and straight to avoid skewed or rotated images.
  • File type: Save as JPEG or PNG at 200–300 DPI for best quality and manageable file size.
Tip: Before uploading, preview your photo and ensure no distracting or unrelated objects are visible. If possible, use a plain background.

Security & Submission

  • Upload documents only through the official portal.
  • Do not email sensitive documents unless explicitly instructed.
  • Remove passwords or encryption from files unless otherwise required
  • Upload all mandatory documents at the time of application submission.
  • Double-check file type, size, and content before uploading.
  • Ensure the document uploaded is the latest version.
  • If multiple files are required, confirm each has been successfully uploaded.
  • Keep a copy of all documents submitted for your own records.
  • Note that documents uploaded may be used for compliance audits or verification.
  • If responding to a system query, upload within the specified timeframe.

Do & Don’t

  • Upload via the official portal; keep your own copy for records.
  • Sign and stamp documents where required before converting to PDF.
  • Ensure names, IDs, dates, and references match your application details.
  • Don’t share sensitive documents via third-party messengers or public links.
  • Don’t upload password-protected files unless explicitly requested.
  • Don’t use photos of screens or unreadable images; rescan clearly.

Pre-Submission Checklist

Passed — File type is PDF/JPG/PNG only; no prohibited types.
Passed — Each file ≤ 10 MB (compressed if needed).
Passed — Pages complete, signed/stamped where required, and legible.
Passed — Descriptive file names with underscores; no special characters.
Passed — Photos clear, correctly framed, and without obstructing objects.
Passed — Details (names, IDs, dates) match the application.
Uploads may be used for compliance checks and audits.
